Job Description

We are seeking an experienced Administrator with a background in the pharmaceutical industry to join our team. The ideal candidate will be responsible for providing comprehensive administrative support, ensuring the smooth operation of our office, and supporting various departments with a range of tasks. This role requires a deep understanding of the unique needs and regulatory environment of the pharmaceutical industry, coupled with strong organizational, communication, and coordination skills.

Key Responsibilities

  • Manage daily office operations and provide administrative support to various departments, including HR, finance, and project teams.
  • Coordinate meetings, manage schedules, and organize travel arrangements for staff and visitors.
  • Handle confidential documents and communications with discretion and in compliance with regulatory standards.
  • Assist in the preparation of reports, presentations, and documents specific to the pharmaceutical industry.
  • Maintain and update records, databases, and filing systems, ensuring accuracy and compliance with industry regulations.
  • Facilitate communication between departments and external stakeholders, including vendors and regulatory bodies.
  • Support the implementation of office policies and procedures, and ensure they are in line with industry standards and regulatory requirements.
  • Assist with the onboarding process for new employees, providing an orientation to the company’s operations and compliance protocols.
  • Manage inventory of office supplies and equipment, including specialized materials used in the pharmaceutical industry.

Required Qualifications and Skills

  • Bachelor’s degree in Business Administration, Healthcare Administration, or a related field.
  • Minimum of 3 years of administrative experience, preferably within the pharmaceutical or a related regulated industry.
  • Familiarity with the regulatory environment of the pharmaceutical industry, including GMP, FDA, and EMA guidelines.
  • Strong organizational and planning skills, with the ability to prioritize tasks and manage time effectively.
  • Excellent verbal and written communication skills, with proficiency in creating professional documents and correspondence.
  • High level of discretion and confidentiality for handling sensitive information.
  • Proficient in Microsoft Office Suite and familiar with industry-specific software and systems.
  • Strong interpersonal skills, with the ability to work effectively in a team and interact with professionals at all levels of the organization.
