Job Description

We are currently seeking a proficient Project Admin Engineer to join our team in Singapore. The ideal candidate will provide vital administrative support to project managers, ensuring the smooth planning, execution, and tracking of project activities within the pharmaceutical industry.

Key Responsibilities

  • Assist project managers in planning, executing, and tracking project activities to ensure timely delivery of project milestones and objectives.
  • Maintain accurate and complete project documentation, including project plans, schedules, meeting minutes, and status reports, ensuring version control and accessibility.
  • Coordinate meetings, workshops, and project events, handling scheduling, room bookings, agenda preparation, and logistical arrangements.
  • Facilitate communication and collaboration among project team members, stakeholders, and external partners by distributing project-related information, updates, and deliverables.
  • Track project expenses, budgets, and resources, supporting the preparation of financial reports and forecasts.
  • Support the resolution of project-related issues and risks by identifying, documenting, and escalating issues as appropriate, and assisting in the implementation of mitigation strategies.
  • Assist in the implementation of project management tools, systems, and processes to streamline project workflows and enhance efficiency.
  • Provide administrative support to project managers, including calendar management, travel arrangements, expense claims, and other ad-hoc tasks as required.
  • Contribute to the continuous improvement of project management practices, tools, and methodologies to drive organizational excellence.

Required Qualifications and Skills

  • Bachelor’s degree in a relevant field or equivalent work experience.
  • Proficiency in Microsoft Office software suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational skills with the ability to multitask and prioritize effectively.
  • Strong attention to detail and accuracy in maintaining project documentation.
  • Effective communication skills, both verbal and written, with the ability to interact with stakeholders at all levels.
  • Ability to work independently as well as part of a team, in a fast-paced environment.
  • Flexibility and adaptability to changing priorities and deadlines.
  • Experience in the pharmaceutical or related industry is preferred but not required.
